Position Description - Office Assistant
 
Primary Function:  Assists the manager with the supervision of the front desk including personnel and operations.  Provides clerical and administrative support in a variety of functions as directed by Office Manager.  A wide degree of creativity and latitude is expected.
 
Requirements: Typically requires a high school diploma or its equivalent.  Operates office equipment and refills supplies as needed.  May act as an onsite coordinator for contractors and other service providers.  Has advanced word processing, spreadsheet, and graphics software skills.  Gaining or has attained full proficiency in a specific area of discipline.  Works under moderate supervision.  Typically requires 2-4 years of related experience and exposure to complex tasks.
 
Responsibilities:
 
  1. Responds to or routes routine inquiries from external or internal sources with own correspondence or other messaging.
  2. Schedules, organizes and coordinates meetings and internal office celebrations/special events.
  3. Creating and maintaining reports and distributing them on a regular schedule.
  4. Maintaining paperwork in Operations area
  5. Learn minor functions of Office Manager role to assist if needed in the absence of the Manager.
  6. Word processing of various letters, memos, reports, photocopying and filing etc., as needed for management personnel.                 
  7. Record keeping functions like filing and data entry.
  8. Learn the onboarding process and processing files for new employees to assist the Recruiter if needed.
  9. Making employee handbooks, employee folders and ID badges.
  10. Assembling proposals – small & large format
  11. Gathering information for slide show and/or quarterly newsletter.
  12. Assisting the Office Manager with or directing largely the planning, organization and promotion of special company events.
  13. Represent ServiceMaster in a professional, positive way when dealing with customers, employees and other members of the community.

Compensation: $17.00 per hour
